Job Description:

Officium is seeking a highly organised, proactive, and detail-oriented Executive Assistant to support CEO and its businesses. The ideal candidate will have a proven track record of providing high-level administrative support, demonstrating professionalism, and the ability to manage multiple tasks efficiently in a fast-paced environment.

KEY RESPONSIBILITIES:

Executive Assistance:

  • Manage the CEO’s calendar, schedule meetings, and coordinate appointments.

  • Handle administrative tasks, including email management and document preparation.

  • Provide general support to ensure the CEO operates efficiently.

Marketing & Social Media:

  • Create and schedule engaging content for PPN’s social media platforms (primarily Facebook).

  • Manage event details, sponsor lists, and assist with outreach efforts.

  • Support podcast-related tasks, if required.

Business Growth & Operations:

  • Handle inbound calls and respond to inquiries professionally.

  • Assist in developing and refining Standard Operating Procedures (SOPs).

  • Identify areas for improvement and contribute to business growth initiatives.

Leadership & Problem-Solving:

  • Take initiative in identifying business needs and proposing solutions.

  • Support the CEO in executing strategies to enhance operational efficiency.

  • Work independently with a proactive, problem-solving mindset.

Qualifications and Skills:

• Bachelor's degree in Business Administration, Communications, or a related field preferred.

• Minimum of 2 years of experience as an Executive Assistant or in a similar role.

• Experience in social media management, including knowledge of platforms such as LinkedIn, Twitter, Facebook, and Instagram.

• Knows how to use Canva and other marketing tools

• A tech-savvy person

• Excellent organisational and time management skills.

• Strong written and verbal communication skills.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and social media management tools.

• Experience in business operations, SOP creation, or process improvement is a plus.

• Ability to work independently and handle multiple priorities with a proactive and flexible approach.

• Strong attention to detail and problem-solving abilities.

• Professional demeanour and ability to maintain confidentiality.

• Has a positive, enthusiastic attitude and a leader material with a dedication to exceeding CEO expectations.

• Flexibility to work during UK working hours (3:00PM - 12:00AM PH Time). May change during DST to (4:00PM – 1:00AM PH Time)

- Has an internet speed minimum of 25 Mbps and a back-up

- A quiet space suitable for work.
